Community activity and event planning guide

Guidance for organising your community event

We are delighted that you are thinking of hosting an event to celebrate the Tour de France coming to the Scottish Borders on Friday 2 July 2027.

It’s a great reason for the community to come together and celebrate a once in a lifetime spectacle. There are going to be many visitors and worldwide media in the area in the run up to the event and during it, as well as an international television audience for our stage alone in the tens of millions.

Showcasing our area

Evidence from the 2014 Tour de France in Yorkshire showed that visitor numbers increased by many millions in the years after the event. It is a fantastic opportunity to showcase your community and the Borders to visitors, to market our local produce and products and to host visitors from all over the world.

This toolkit aims to make planning your event as easy as possible by setting out the key principles for organising your event.

On these pages you’ll find guidance on developing your ideas, potential sources of funding, marketing, licensing, delivery, clean-up and evaluation of your event, as well as key contacts to help you along the way.

This guide offers information and templates across all event planning processes. However, it should be noted that not all events will require every process.

It is important to make contact as early as you can to ensure you’re submitting the correct applications and documents. Responsibility ultimately falls to the organising group, so ensure that appropriate insurance, volunteer numbers and facilities are in place prior to your event.

Contact tdf@scotborders.gov.uk to discuss your ideas as soon as possible.
