Managing your site

Toilets and welfare facilities

If you are operating a temporary campsite you will be responsible for ensuring that suitable toilet facilities are available for visitors.

Facilities should be appropriate for the expected number of guests and should be regularly serviced and maintained throughout the period of operation.

Waste and recycling

Good waste management is essential to keeping sites clean, welcoming and environmentally responsible.

Site operators should provide suitable refuse and recycling facilities and ensure arrangements are in place to:

  • Reduce littering and attend to any littering that arises
  • Empty bins and manage waste throughout the period of operation
  • Remove all waste when the site closes

Campervan and motorhome waste

If your site will accommodate motorhomes or campervans you should consider how grey water and chemical toilet waste can be disposed of safely.

Details of disposal arrangements should be included within your site management plans.

Mobile food and drink vendors

If you intend to allow any mobile food and drink vendors to operate on the site, please ensure that they hold the appropriate street trader licence.

Fire safety

Fire safety should be carefully considered as part of your site planning.

The Scottish Fire and Rescue Service recommends landowners implement the following fire safety precautions:

  • Maintain clear emergency vehicle access at all times
  • Provide appropriate spacing between tents
  • Park vehicles separately from camping areas where possible
  • Cut or top long grass before the site opens to reduce fire risk
  • Remove livestock from areas being used by visitors
  • Provide suitable firefighting equipment
  • Make visitors aware of emergency procedures
  • Use a booking system that enables occupants to be accounted for if required
  • Prohibit disposable barbecues
  • Prohibit smoking within camping areas
  • Do not allow cooking inside tents
  • Do not allow candles
  • If generators are used, ensure they are safely located, managed and fuelled
  • Carry out an appropriate site-specific risk assessment

Insurance

It is the responsibility of the landowner or site operator to ensure that appropriate insurance cover is in place for the activities being undertaken.

Restoring the site

Sites should be returned to their original condition as soon as reasonably practicable following the period of operation.

This may include:

  • Removing temporary infrastructure
  • Clearing all waste
  • Repairing any damage to the ground or access routes

Access, traffic and parking

Careful planning of vehicle access is important, particularly for sites located close to the event routes or busy roads.

When planning your site, please consider:

  • Safe vehicle access and exit
  • Adequate visibility for drivers
  • Emergency vehicle access
  • Safe movement of vehicles and pedestrians around the site

Encouraging active travel

Where possible, temporary sites should encourage visitors to walk, wheel or cycle between accommodation, parking areas and event viewing locations.

You may wish to consider:

  • Safe pedestrian access routes
  • Connections to existing walking and cycling networks
  • Providing visitors with information about local active travel options

Wet weather and emergency planning

Weather conditions can change quickly, and planning ahead can help ensure sites remain safe and operational.

Management plans should consider:

  • Ground conditions during wet weather
  • Vehicle access during adverse conditions
  • Procedures for closing the site if it becomes unsafe
  • Recovery arrangements for vehicles that become stuck
  • Emergency access arrangements
  • Public health and welfare considerations
